Getting Started

Follow these steps to create an account, upload your first document, and share it with analytics enabled.

  1. Register with email/password or continue with Google. Check your inbox to verify if prompted.
  2. Sign in to your dashboard. The sidebar shows Documents, Shares, and Analytics sections.
  3. Click Upload and select a file. The system validates size and type based on your plan.
  4. Once conversion finishes, open the document, review the preview, and click Share to create a tracked link.

Documents

Manage your documents across the full lifecycle: upload, conversion, preview, download, and deletion.

Upload

  • Supported file types and size limits are enforced at upload based on your role/plan.
  • Files are securely stored; conversion triggers automatically after upload.
  • Conversion failures can be retried from the document menu without re-uploading.
  • Status badges indicate processing progress; you can navigate away safely.

Preview & Download

  • Preview renders analytics-ready pages; original files remain accessible if downloads are allowed.
  • Downloads can be toggled per share. If disabled, viewers see preview only.
  • Deleting a document removes associated shares and frees storage. This action cannot be undone.

Sharing

Create share links with optional access code and expiration. Shares can be paused or deleted at any time.

Create a share

  1. Open the document and click Share.
  2. Optionally set an Access code (viewers must enter it before viewing).
  3. Select an Expiration duration based on your plan.
  4. Decide whether to Allow downloads for this share.

Access control

  • Access code protects sensitive content; incorrect codes block entry.
  • Expired or paused shares immediately deny access and preserve analytics.
  • You can update code and expiration later; links remain stable unless deleted.

Analytics

Understand engagement with view counts, total dwell time, average engagement, and heatmaps (where available).

Metrics

  • Views: Total openings of the document across shares.
  • Avg engagement: Weighted score derived from per-slice dwell times and interactions.
  • Downloads: Count of original file downloads (if enabled).

Heatmaps

  • Visualize attention by page/section with color intensity.
  • Helps identify high-performing sections and drop-off points.
  • Availability may depend on your plan and permissions.

Roles & Limits

Your role determines quotas and permissions, including document count, file size, share limits, allowed durations, file types, and whether analytics/heatmap features are available.

Quotas & permissions

  • Upload restrictions: file types and max size enforced at upload.
  • Share restrictions: number of shares per document and allowed expiration windows.
  • Analytics availability: access to heatmaps and detailed metrics may vary by plan.

Upgrades

  • Upgrading a plan immediately raises quotas for new uploads and shares.
  • Previously created links keep working; new limits apply to subsequent actions.

Billing

DocBeacon uses secure subscription billing. Manage plan, payment method, and invoices from your account.

  • Change plans anytime; role and quotas update accordingly.
  • Failed payments trigger notifications with next steps.
  • Invoices and history are available for download.

Security

We prioritize data protection across storage, access controls, and audit activities.

  • Files are stored securely; previews avoid exposing original content if downloads are disabled.
  • Access controls include share access codes and expirations at the link level.
  • Activities are logged for key document and share operations.

Site Stats

Admins can view organization-wide usage, including documents, shares, and engagement summaries.

Access requires the appropriate permission. Data is aggregated and may be delayed slightly due to processing.

Troubleshooting

Upload Issues

  • "File too large": compress the file or upgrade your plan to increase limits.
  • "Unsupported file type": convert to a supported format for your role/plan.
  • "Conversion failed": retry conversion from the document menu; if the issue persists, contact support.

Access & Analytics

  • "Share expired": extend the share duration or create a new share link.
  • "Access code required": ensure recipients have the correct code; you can regenerate it if needed.
  • "Analytics unavailable": this feature may be restricted by your role/plan.

API & Webhooks

Programmatically manage documents, shares, and analytics. Webhooks enable billing events and integrations.

  • REST endpoints cover documents, shares, analytics, and account operations.
  • Billing webhooks process subscription lifecycle events and role updates.
