Getting Started

Follow these steps to create an account, upload your first document, and start tracking sharing performance.

1. Sign Up & Login

  • Email Registration: Enter your email and password (at least 8 characters, including uppercase, lowercase, and numbers)
  • Google Quick Login: Click "Sign in with Google" and select your account to complete authorization
  • Email Verification: Check your verification email and click the link to complete verification
  • Session Management: Check "Remember me" to extend your session to 30 days

2. First Login Onboarding

On your first login, the system provides an interactive onboarding flow to help you quickly understand core features:

  • Dashboard Tour: Learn how to view document statistics and recent activity
  • Upload Documents: Learn how to upload and convert documents
  • Create Shares: Master the creation and configuration of share links
  • View Analytics: Explore powerful document analysis features

💡 Tip: You can skip the onboarding at any time, and the system will remember your choice. Onboarding is automatically disabled on mobile devices.

3. Upload Your First Document

  1. Click the "Upload Document" button or go to the upload page
  2. Select a file (supports PDF, Word, PowerPoint, TXT)
  3. Fill in document title, description, and tags
  4. Wait for upload and conversion to complete (real-time progress display)

4. Create a Share Link

  1. Open the document details page
  2. Click the "Create Share" button
  3. Set access controls (access code, expiration time, download permissions, watermark)
  4. Copy the share link and send it to recipients

5. View Analytics Data

After the document is accessed, you can view data in the following locations:

  • Dashboard: Overview KPIs, 7-day trends, top documents, recent activity
  • Document Analytics: Page-level dwell time, reading paths, engagement scores
  • Share Analytics: Views, downloads, and contact information for each link
  • Activity Feed: Real-time view of browsing and download events

Document Management

Manage the complete document lifecycle: upload, convert, preview, download, and delete.

Upload Process

  1. Select file and fill in document information
  2. File upload (shows progress 0-100%)
  3. Auto-conversion for online viewing
  4. Security checks (type validation, hash verification)
  5. Conversion complete, ready to share

Processing Status

  • Pending: Document uploaded, waiting for processing
  • Processing: Preparing document for online viewing
  • Completed: Document ready to share and view
  • Failed: Processing failed, click retry

Document Preview

You can preview your uploaded documents anytime:

  • Click "Preview" button in document list
  • Preview mode browsing doesn't count in statistics
  • Only you can access preview links

We strongly recommend using individual tracking for each reader:

  • Create unique trackable links for each contact
  • Track individual reader engagement and behavior
  • Identify who viewed, when, and for how long
  • Get precise analytics for follow-up actions
  • Most effective way to understand your audience

DocBeacon provides flexible and powerful sharing control features, giving you precise control over document access.

Share Types

Public Share

One share for everyone, suitable for widely distributed content.

Contact Share

Generates a unique share for each contact to enable precise, per-contact engagement insights.

Access Code Protection

  • 4-character access code: Alphanumeric, automatically generated when creating share link
  • Access verification: Viewers must enter correct code to view document
  • One-time generation: Access code is created with the share link and cannot be changed
  • Use cases: Public channel sharing, identity confirmation, prevent accidental forwarding

Verified Email Access

  • Available on Pro and above: Works with Contact Share only
  • Email required: Each contact must have a valid email address
  • Verification: The contact verifies using a one-time code sent to their email
  • Protection: Forwarded links won't work for other viewers

Download Permission Control

  • Allow downloads: Viewers can download a copy, activity in downloaded copies isn't tracked, so downloads aren't recommended for tracking
  • Disable downloads: Online viewing only. Enables full on-page reading behavior tracking and analytics
  • Download tracking: Download actions are recorded in statistics
  • Flexible settings: Create multiple shares for same document with different download permissions

Dynamic Watermark Protection

Add dynamic watermarks to documents to prevent unauthorized distribution:

  • Watermark content: "Confidential" label + viewer identity + access timestamp
  • Tiled overlay: Covers entire document page, semi-transparent display
  • Unique identifier: Each viewer sees a unique watermark
  • Screenshot protection: Watermark preserved in screenshots or photos
  • Use cases: Business confidential documents, unreleased product materials, traceable documents

Document-Level Analytics (Pro and above)

Overview metrics:

  • Total views, unique visitors, total reading time
  • Average reading time, average scroll depth
  • Download count, engagement score (0-100)

Page-level analysis:

  • Dwell time for each page
  • Scroll depth for each page
  • Drop-off rate for each page

Reading path analysis:

  • Visualize visitor reading paths via Sankey flow diagram
  • Shows starting page, jump paths, exit page
  • Understand if visitors read sequentially

Engagement Score Explained

DocBeacon uses AI-powered algorithms to calculate engagement scores (0-100) that accurately reflect reader engagement:

Score levels:

  • 90-100: High engagement, deep reading
  • 70-89: Good engagement, careful reading
  • 50-69: Medium engagement, selective reading
  • 30-49: Low engagement, quick browsing
  • 0-29: Very low engagement, barely read

Reading Mode Classification

AI-powered system automatically identifies visitor reading patterns:

Deep Reading

Visitor carefully read most content with high engagement, ideal reading mode

Focused Reading

Visitor selectively read portions with moderate engagement, may be seeking specific information

Skimming

Visitor quickly browsed with low engagement, didn't read deeply

Heatmap Analysis (Pro and above)

  • Section-level insights: Fine-grained attention data within each page
  • Color intensity: Represents engagement level, red areas indicate high attention
  • Aggregated views: Multiple views of the same share link are automatically combined into one heatmap
  • Use cases: Identify golden sections, discover ignored content, understand reader attention patterns

Contact Management

Contact features help you organize and manage document recipient information.

Adding Contacts

Manual addition:

  1. Go to "Contacts" page
  2. Click "Add Contact" button
  3. Fill in name, email (required)
  4. Fill in company, position, tags, notes (optional)

Create while sharing:

When creating a share, select "Specific recipient", enter new contact info and check "Save to contacts".

On the settings page, you can customize your DocBeacon experience.

Profile

  • Basic info: Name, company, position, contact phone
  • Timezone: Auto-recorded, ensures correct email and timestamp display
  • Email preferences: Daily digest, product update notifications

Theme Settings

  • Light mode: Bright and fresh, suitable for daytime
  • Dark mode: Dark background, suitable for nighttime
  • System: Auto-matches OS theme

Theme settings take effect immediately and sync across all devices

Daily Digest Email

Receive daily summary of previous day's document activity:

  • Total views, total downloads
  • Total reading time, top documents
  • Auto-adjusted send time based on your timezone
  • Can be enabled or disabled in settings

  • Functional cookies: Required, for basic functions

Q: Conversion failed?
A: Click retry button, check if original file is corrupted or encrypted. If still failing, contact support.

Sharing Issues

Q: Share link expired?
A: Extend share duration or create a new share link.
Q: Access code incorrect?
A: Confirm using the latest code provided by the sender. You can regenerate the code if needed.
Q: Reached view limit?
A: Create a new share link, or upgrade to a higher plan.

Analytics Issues

Q: Can't see analytics data?
A: Analytics requires Pro and above plan, or wait for data to generate (may take a few minutes).
Q: Data inaccurate?
A: Data usually updates in real-time, refresh page to see latest data.
Q: No geographic location info?
A: Visitors using VPN or privacy tools may not have accurate location data.

Account Issues

Q: Forgot password?
A: Click "Forgot password" on login page, reset via email.
Q: Can't login?
A: Check if email is verified, confirm password is correct. Multiple failures trigger temporary lockout.
Q: How to change email?
A: Email addresses cannot be changed after account registration.

  • Sensitive document management: Use strictest access controls, enable watermark and disable downloads, set short validity periods
  • Account security: Use strong passwords, change passwords regularly, don't share login credentials
